How to add a child and complete their profile

Once your onboarding has been approved, you can start adding children to your setting in LittleLink ID. Each child profile can include personal details, photo settings, allergies, important information, safeword, GP details, medications, emergency contacts, and an approver.

Step 1: Go to the Children page
From the left-hand menu, select Children. Then click Add new Child in the top right corner of the screen. This will open the child profile form.
Step 2: Add the child’s basic details
Start by entering the child’s:
  • first name
  • last name
  • date of birth.

The child’s full name and date of birth are for internal use. On the public profile, LittleLink ID shows only the child’s initials and age band rather than full personal details. For example, a child may appear as A.Y. and 1–2 years old.

Step 3: Add a photo and choose photo visibility

You can upload a child photo as part of their profile. If you do, the system automatically creates a blurred version for the public profile rather than showing the original image.
If you want the photo to be for internal use only, tick Do not show on public profile. This means the image can still be stored in the child’s profile without appearing publicly.

For best results, use a clear close-up photo of the child’s face.

Step 4: Add allergies, important information, and safeword
Next, complete the child’s care and safeguarding details.

You can add:
  • allergies
  • important information
  • a safeword.

The safeword is mandatory and is for internal use only. It does not appear on the public profile.

Step 5: Add GP details (Optional)
You can also add the child’s GP information, including:
  • GP name
  • GP contactnumber
  • GP address.

This helps keep important emergency information together in one place.

Step 6: Add medications
If needed, you can add medications by clicking Add Medication in the Medications section. For each medication, you can enter:
  • medication name
  • dosage
  • timing
  • whether it is a required medication.


    Required medications act as a reminder later when the child is checked in, so you can confirm the child has what they need with them, such as an inhaler.

    Step 7: Add emergency contacts and an approver
    Each child should have at least 2 emergency contacts and can have up to 4. To add one, click Add New Contact.

    For each contact, you can enter:
    • first name
    • last name
    • contact number
    • relationship
    • whether they should show as an emergency contact
    • whether they are authorised for pickup
    • whether they are the child’s approver.

    Each child should have 1 approver. If a contact is marked as the approver, their email address becomes mandatory.

    Step 8: Add the child
    Once all required details have been completed and the contacts have been added, click Add Child at the bottom right of the form.
    The child will then be added to your account, but they will appear faded out while they are awaiting review by the approver.

    What happens next?
    When you assign an approver, they will receive an email. If it is their first time using LittleLink ID, they will also receive a password setup email and create their own login. The setup link is valid for 72 hours.
    Once the approver signs in, they can review the child’s details and choose to:
    • approve
    • ask for changes
    • decline.
    Once approved, the child becomes active in the system.

    Updating a child later
    You can return to the Children page at any time and click Details to view or update:
    • child details
    • medications
    • emergency contacts
    • audit log.
    If you change a child’s details, the updates do not go live straight away. A new review request is sent to the approver, and the updated details only appear once they have been approved.

    Removing a child
    If needed, you can remove a child from the system. This removes the child completely and deletes any uploaded child photos.
