Overview
LittleLink ID includes an Approve on Behalf feature to help prevent delays when a child is waiting for approval from an approver.
This feature is intended for situations where an approver has provided permission for the child to be approved but is unable to access their email, log in to their account, or complete the approval process themselves.
When used correctly, this allows the childminder to continue the onboarding process without unnecessary delays.

Where to Find the Feature
When a child is awaiting approval, navigate to:
Children → Select Child → Child DetailsIf there is a pending approval request, you will see a Pending Parent Approval panel on the child's profile.
Within this panel, an Approve on Behalf button will be available.

How to Approve on Behalf
Confirmation Statement
Before an approval can be completed, you must confirm the following statement:
- Open the child's profile.
- Locate the Pending Parent Approval section.
- Click Approve on Behalf.
- Review the child's details to ensure they are accurate.
- Read the confirmation statement carefully.
- Tick the confirmation checkbox.
- Click Confirm Approval.
Confirmation Statement
Before an approval can be completed, you must confirm the following statement:
I confirm that I have obtained permission from an approver to approve this request on their behalf and understand I am responsible for retaining evidence of this permission where appropriate.

This confirmation is mandatory and must be acknowledged before the request can be approved.
Retaining Evidence of Permission
Before approving on behalf of an approver, you should ensure that permission has been obtained directly from them.
Examples of acceptable evidence may include:
Optional Approver Permission Consent Form
For providers who wish to maintain a formal record, an Approver Permission Consent Form is available within the Useful Links section of LittleLink ID.
This document can be completed and signed by the approver and retained alongside your records.
Please note that use of this form is optional and is provided as a convenience for providers who wish to keep a signed record of consent.
Audit Trail
Approvals completed using the Approve on Behalf feature are recorded within the LittleLink ID audit logs.
This provides a clear record showing when the approval was completed and that it was approved on behalf of the approver.
Best Practice
Whenever possible, approvers should review and approve requests using their own LittleLink ID account.
The Approve on Behalf feature should only be used when permission has been obtained from the approver and there is a genuine need to assist with the approval process.
